Fast approvals come from better context and clearer ownership—not from removing the controls that protect the business.
Define the decision before routing it
Every approval should state what changed, why it matters, who owns the decision and what evidence is required. Ambiguous requests create avoidable loops.
Show the exception in context
Reviewers need the quote version, customer, products, price, discount, margin impact and prior decisions in one place.
Use the smallest accountable route
Route only to the people whose policy or authority is relevant. Extra reviewers increase waiting time without improving the decision.
Keep a visible status
Sellers should be able to see whether a quote is waiting, returned for changes, approved or blocked—and what action is needed next.
Measure the cycle
Track approval time, return rate, exception type and reviewer workload. Use the data to fix recurring policy ambiguity instead of adding more manual follow-up.
